Coachin (“Coachin”, “we”, “us”, or “our”) helps coaches discover one another, share knowledge, and participate in coaching communities. We collect personal information only where it is reasonably necessary to provide, secure, support, and improve Coachin. This policy should be read with our Terms of Service.

2. Information We Collect

Depending on how you use Coachin, we may collect:

• Account information, including your email address, display name, and sign-in details.
• Profile and coaching information, such as your profile photo, sports, coaching experience, city or region, age groups coached, club affiliation, interests, and biography.
• Content and interactions you create, including plays, resources, posts, comments, reactions, messages, memberships, event responses, and reports.
• Uploaded files and media that you choose to share.
• Technical and usage information needed to operate and protect the service, such as device and browser information, IP address, session information, feature interactions, and error or security records.

Providing some information is optional. However, if you do not provide information required to create an account, complete a requested action, or keep the service secure, we may be unable to provide that part of Coachin.

3. How We Use Information

• Create and administer accounts, profiles, clubs, groups, events, and connections.
• Suggest relevant coaches and community content using the profile information you provide.
• Deliver messages, notifications, shared resources, and other requested features.
• Maintain, troubleshoot, protect, and improve Coachin, including understanding feature usage and preventing misuse.
• Respond to enquiries, reports, legal obligations, and enforce our Terms of Service.

4. Visibility and Sharing

Coachin is a community service. Your display name and profile information may be visible to other signed-in users so they can discover and connect with you. Content you post in public areas, including public groups or public plays, may be visible to a wider audience. Content in private clubs, groups, and direct messages is shared with people permitted to access those areas. Please consider this before posting personal, sensitive, or confidential information.

We do not sell personal information. We may disclose information to service providers that help us deliver Coachin, where you direct or authorise us to do so, to comply with law or a valid legal request, or to protect Coachin, our users, and the public.

5. Security and Retention

We use reasonable safeguards designed to protect personal information from loss, unauthorised access, use, modification, or disclosure. No online service can guarantee absolute security. We retain information for as long as reasonably necessary to operate the service, resolve disputes, meet legal obligations, and maintain security. Information may remain in backups or records for a limited period where necessary for those purposes.

6. Cookies and Similar Technologies

We use essential cookies and similar technologies to maintain secure sign-in sessions, remember preferences, and operate Coachin. We also use limited usage information to understand how Coachin is used and improve it. You can control cookies through browser settings, but disabling essential cookies may prevent some features from working.

7. Your Privacy Rights

Subject to applicable law, you may ask us for access to, or correction of, personal information we hold about you. You may also ask us to delete your account or information; we will consider each request in light of our legal, operational, and security obligations. Email admin@coachin.online to make a request. We may need to verify your identity. If you are in New Zealand and are dissatisfied with our response, you may complain to the Office of the Privacy Commissioner.

8. Children’s Privacy

Coachin is designed for coaches and is not intended for children to create accounts independently. Do not submit personal information about a child unless you are authorised to do so and it is appropriate for the feature you are using. Contact us if you believe a child has provided personal information without appropriate authority.

9. Changes and Contact
